RFP Speaker Contract (V-01)

nexoQA organizes the expo:QA International Conference, During this conference, speakers are invited to come and give a lecture. nexoQA pay them some travel expenses, and sometimes a fee (not always). All the details of this relationships must be covered by the contract.

Some points to think of (not exhaustive) and not necessarily in order:

-          The speaker is invited to attend and speak at expo:QA the 17^th and 18^th of November 2010 in Madrid.

-          The conference will be hold at IFEMA but the organizer can change the place

-          The speaker will give a lecture of 60’ max. The organizer will communicate later the hour schedule of the lecture and the exact duration.

-          Optional: The speaker will give a 1 day tutorial the 16^th of November. The subject of the tutorial is : xxxxxxxxx. It can be changed lateron upon organizer request.

-          The organizer offers the following (in the contract make a list of the options to be marked)

• Hotel nights breakfast included, single occupancy: 2
• Travel fee: a maximum of XXX € refunded only on proof of purchase, second class mandatory. It covers only the flight ticket (not extra, taxi etc.)
• Meals at the conference place
• One entrance at the conference
• One extra entrance at the conference with 50% discount
• One entrance at the networking dinner the 17^th of November
• One extra entrance at the networking dinner with 50% discount

-          Any extra, for instance upgrade to business class, or double occupancy is at the speaker expense.

-          In order to be refund, the speaker must send the actual proof of travel no more that 30 days after the event. The proof of travel must be the proof of purchase (invoice or flight tiquet) and the boarding pass

-          The speaker must issue an invoice with fiscal data to be refunded. No offshore / black list country accepted.

-          A fee of XXX (this clause can be removed but the template must remains consistent)

-          The speakers commits to send his definitive lecture before the 15^th of September. The lecture will be approved by the organizer. The speaker commits to undertake any rework / correction asked by the organizer in the following 7 days. In case of not doing it, the organizer can cancel his participation.

-          The speaker commits not to introduce sales pitch in his presentation that has not been approved by the organizer.

-          The lecture can contain at most 1 slide about the speaker/author biography and 1 slide about the speaker/author organization.

-          The presentation will have the expo:QA format (powerpoint file template communicated by the organizer).

-          The speaker must send his travel details at least 3 weeks before the event. If he doesn’t do it 3 weeks before the event, the organizer can cancel his hotel room (maybe yes maybe not)
